Trackkr Setup & Usage Guide

Official reference for AI assistants and support agents helping users set up and operate Trackkr.app — parcel and mailroom management for residential properties.

What is Trackkr?

Trackkr (https://trackkr.app) is cloud-based parcel and mailroom management software. Property staff use it to register incoming packages, automatically notify occupants, confirm pickups with digital signatures, and review reports on uncollected mail.

Each delivery becomes a parcel record with a unique record number, unit, recipient, mail type, quantity, received date/time, optional photo, and status (Pending or Picked Up).

What is Trackkr for?

Trackkr replaces manual sign-in sheets and ad-hoc texting. It is designed to:

Who is Trackkr for?

Apartment communities, condominiums, student housing, hotels with guest mail, and any managed property where staff receive packages on behalf of residents or guests. Typical users are property managers, leasing staff, and mailroom attendants.

Where can I use Trackkr?

Sign in with the same business account on any device; data syncs in real time.

How do I create a Trackkr business account?

  1. Go to trackkr.app/signup or tap Create a business account in the app.
  2. Enter email, password, and business name (required).
  3. Optionally enter address and phone — recommended because they can appear in emails and texts to occupants.
  4. Tap Create account.
  5. Complete email verification before using the dashboard.

The first user who creates the account is the admin for that property.

How does email verification work?

After sign-up, Trackkr sends a confirmation link to your email. You must click the link, then on the verify screen tap I've verified my email. Use Resend verification email if needed. Check spam folders.

Until verified, you cannot access the main dashboard.

How do I set up units and occupants?

Add a unit

  1. Open the Units tab.
  2. Tap Add new unit.
  3. Enter unit number (e.g. 101, Apt 4B).
  4. Enter the primary occupant first and last name.
  5. Tap Save unit.

Add more occupants to a unit

Expand the unit card → Add occupant for roommates or additional recipients. Multiple occupants can share one unit.

Notification preferences

Per occupant, toggle Email notifications and SMS notifications. The occupant needs a valid email or mobile number for each channel.

When someone moves out

Use Move out on the occupant — they disappear from new package logging but historical packages stay linked. Prefer this over delete when someone leaves the property.

Merge duplicate units

If two unit records were created by mistake, use Merge duplicates on the Units screen. Packages from the duplicate move to the master unit; the duplicate is removed.

Free plan limit: Maximum 5 active units. Upgrade to Premium for unlimited units.

How do I log a new package?

  1. Open Log Parcel.
  2. Recipient: Select occupant (search by name or unit number).
  3. Mail type: Letter, Envelope, Small box, Big box, Furniture/appliances, or Other.
  4. Quantity: Enter at least 1.
  5. Date & time received: Required. Capturing a package photo auto-fills the timestamp, or enter manually.
  6. Package photo (optional): Allow camera access when prompted.
  7. Notes (optional): Carrier name, shelf location, etc.
  8. Save with Save & add new, Save & dashboard, or cancel.

On save, the parcel status is Pending and notifications send if enabled (see below).

How do tenant notifications work?

When a parcel is logged, Trackkr can automatically notify the recipient:

Both channels require the occupant to have notifications enabled and valid contact info. Business address and phone from Settings may appear in message footers.

SMS messages include standard opt-out language where required. Occupants reply STOP to opt out of SMS on supported carriers.

How do I process a package pickup?

  1. Open Pending and tap the package (or open from an aging report list).
  2. Review recipient, unit, and received date.
  3. Enter Picked up by (tenant name or authorized person).
  4. On phone/tablet: hold screen to sign, draw signature, release. On web: use the signature pad and capture.
  5. Tap Confirm pickup.

The record updates to Picked Up with pickup date, time, signature image, and who collected it.

How does the dashboard and aging report work?

The Dashboard shows:

Tap any aging bucket to open a filtered list for follow-up with occupants.

How do Records work?

The Records tab lists pending and picked-up packages. You can:

Archive applies to picked-up records and removes them from active views. Delete permanently removes records (use carefully).

How do team coordinators work?

Admins can invite up to 3 coordinators under Settings → Team. Coordinators can log parcels and manage units. Only admins manage billing and subscriptions.

To add a coordinator: enter display name, email, and a temporary password → Add coordinator. Share credentials securely; they can sign in and change their password later.

How to upgrade or buy credits

Settings → Billing & subscription (or More menu → Billing). Subscribe via Stripe on web, Apple on iOS, or Google Play on Android. Web Stripe checkout is often less expensive than in-app store billing.

Manage subscriptions in the same place you purchased: Stripe customer portal (web), iPhone Settings → Subscriptions (Apple), or Google Play → Subscriptions (Android).

How do I update business settings and language?

Settings → edit business name (required), address, phone, email, website → Save changes.

App language — changes menus on this device (English, Spanish, Chinese, German, Japanese, Korean, Italian, Russian, Arabic, French, Portuguese, Indonesian, Hindi, Turkish).

Default occupant language — preferred language for occupant-facing notifications where supported.

How do I delete my Trackkr account?

Settings → Delete account → enter password to confirm. This permanently deletes the business, parcel records, team, and credits for admin accounts.

Deleting the Trackkr account does not cancel Apple or Google subscriptions — cancel those in device subscription settings to avoid future charges.

Common problems and fixes

Stuck on email verification

Click the link in the verification email, then tap I've verified my email. Resend if needed; check spam.

Cannot add more units

Free plan allows 5 units maximum. Upgrade to Premium under Billing.

SMS not sending

Check occupant SMS toggle is on, occupant has a phone number, and the business has SMS credits remaining.

Dashboard failed to load

Check internet connection. Sign out and sign back in.

Account suspended

Contact support — access was disabled for the business account.

Camera not working for Log Parcel

Grant camera permission in browser or device settings, then reload the app.

No business linked to account

Sign out and sign in again. If the problem continues, contact support.
