Trackkr Tutorial Guide

Follow these sections to set up your property and run the mailroom day to day. Steps are the same on every platform; labels note where menus differ slightly.

Getting started

Create one business account, then use it on web and mobile. Data syncs automatically.

Create your account

  1. Open trackkr.app/signup (web) or tap Create a business account in the iOS/Android app.
  2. Enter email, password, and business / property name.
  3. Optionally add address and phone (recommended for notification footers).
  4. Create the account, then open the verification email and confirm your address.
  5. Return to the app and tap I've verified my email, then sign in.
Web: Use Chrome, Safari, Edge, or Firefox at trackkr.app/login.
iOS: Install Trackkr from the App Store, then sign in with the same email.
Android: Install from Google Play, then sign in.

The first user is the business admin. Coordinators can be invited later under Settings → Team.

Adding or changing business information

Keep your property profile accurate so tenants see the right contact details on emails and SMS.

  1. Open Settings (bottom tab on mobile; Settings tab or More menu on web).
  2. Update business name (required), address, phone, email, and website.
  3. Tap Save changes.
All platforms: Settings is available after you sign in. On larger web layouts, Billing and About may also appear under the More menu.

Adding units

Units are apartments, suites, or room numbers where packages are delivered.

  1. Open the Units tab.
  2. Tap Add new unit.
  3. Enter the unit number (for example 101 or Apt 4B).
  4. Enter the primary occupant’s first and last name.
  5. Tap Save unit.

Free plan: up to 5 active units. Premium: unlimited units. If save is blocked, upgrade under Billing.

Web / iOS / Android: Same Units tab flow. Search the unit list after you have many units.

Adding tenants (occupants)

Each person who can receive packages is an occupant on a unit.

  1. Open Units and expand the unit card (or open the unit detail).
  2. Tap Add occupant.
  3. Enter first name, last name, and optionally email and phone.
  4. Turn on Email notifications and/or SMS notifications as needed.
  5. Save the occupant.

SMS needs a valid mobile number and available SMS credits. Email needs a valid address and monthly email allowance (unlimited on Premium).

New tenant family (multiple people in one unit)

When a household or roommates move in together, keep one unit and add each person as an occupant.

  1. Confirm the unit exists (or create it under Adding units).
  2. Add the primary adult first.
  3. Add each additional family member or roommate with Add occupant.
  4. Set notification preferences per person — some may want SMS, others email only.
  5. When logging a parcel, choose the specific recipient so the right person is notified.
Tip (all platforms): Search Log Parcel by unit number or occupant name to pick the correct family member quickly.

Removing tenants

Choose the right action so you do not lose pickup history by mistake.

  1. Open Units → open the unit → find the occupant.
  2. Tap Move out (preferred for leavers).
  3. Confirm. If they still have pending packages, you can still move them out; those packages remain for pickup history.

Tenant moved out

Use this checklist when a lease ends or someone vacates.

  1. Process any remaining pickups under Pending if the tenant (or authorized person) collects leftover mail.
  2. On the unit, Move out each departing occupant.
  3. If a new household is moving in, keep the same unit number and add the new tenants.
  4. Do not delete the unit unless it no longer exists in the building — history is useful for disputes.

Moving out does not delete parcel records. Staff can still look up old deliveries in Records.

Logging new parcels

  1. Open Log Parcel.
  2. Select the recipient (search by name or unit).
  3. Choose mail type (letter, envelope, small/big box, furniture/appliances, or other).
  4. Enter quantity (1 or more).
  5. Set date & time received. Taking a package photo can auto-fill the timestamp.
  6. Optionally add a photo and notes (carrier, shelf location).
  7. Save with Save & add new or Save & dashboard.
Web: Camera access is requested in the browser.
iOS / Android: Allow camera permission in system settings if prompted. Photos attach to the parcel record.

After save, status is Pending and notifications send when enabled and credits allow.

Giving a parcel to a tenant (pickup)

  1. Open Pending (or an aging report list from the Dashboard).
  2. Tap the parcel to open pickup.
  3. Confirm unit, recipient, and received date.
  4. Enter Picked up by (tenant or authorized person).
  5. Capture the signature on the signature pad.
  6. Tap Confirm pickup.
Phones & tablets: Draw with a finger.
Web: Draw with mouse or trackpad on the signature pad.

The record becomes Picked Up with timestamp, collector name, and signature image.

Running reports

Dashboard overview

Open the Dashboard (Home) to see:

Follow up on aging mail

  1. On the Dashboard, tap an aging bucket (for example 30–60 days).
  2. Review the filtered list of tenants / parcels.
  3. Contact occupants, then process pickup when they arrive.
All platforms: Aging lists open from the same Dashboard cards. Quick actions also jump to Pending, Log Parcel, Records, and Units.

Managing SMS credits

Each SMS notification uses one credit from your business balance (monthly allowance first, then purchased packs).

Check your balance

  1. Open SettingsBilling & subscription (or More → Billing on web).
  2. Review monthly SMS allowance and any purchased pack balances / expiry dates.

Buy more SMS credits

  1. In Billing, choose an SMS credit pack (for example 500 / 1,000 / 3,000).
  2. Complete checkout with the store for your platform.
  3. Return to Billing — credits appear after the purchase syncs (wait a moment and refresh if needed).
Web: Stripe checkout (often lower cost than mobile stores).
iOS: App Store / Apple In‑App Purchase.
Android: Google Play Billing.

Purchased packs expire (typically 30 / 60 / 90 days by pack size). Monthly plan SMS resets with your plan cycle.

Records & history

  1. Open Records.
  2. Search by name, unit, or record number.
  3. Sort by name, unit, date received, or date picked up.
  4. Tap a row for full details, photo, and signature.
  5. Select multiple picked-up records to Archive, or delete only when you intend permanent removal.

Archive cleans active views without erasing the operational trail you may need for disputes.

Tenant notifications (email & SMS)

  1. Ensure each occupant has email and/or phone filled in.
  2. Enable Email and/or SMS toggles on the occupant.
  3. Confirm business address/phone in Settings for message footers.
  4. Log a parcel — Trackkr sends alerts automatically when credits and toggles allow.

Occupants can reply STOP to SMS on supported carriers to opt out. Free plans include limited monthly emails/SMS; Premium includes unlimited emails and a larger monthly SMS allotment.

Team coordinators

  1. As admin, open SettingsTeam.
  2. Enter display name, email, and a temporary password.
  3. Tap Add coordinator (up to 3 coordinators).
  4. Share credentials securely. Coordinators can log parcels and manage units; admins manage billing.

Language settings

  1. Open Settings.
  2. Set App language for menus on this device.
  3. Set Default occupant language for occupant-facing notifications where supported.
Web / iOS / Android: Language is per device for the app UI. Occupant notification language follows the business default / occupant settings.

Premium & billing

  1. Open Billing from Settings or the More menu.
  2. Review Free vs Premium limits (units, emails, SMS).
  3. Subscribe to Premium or purchase SMS packs.
  4. Manage or cancel the subscription in the same store you used (Stripe portal, Apple Subscriptions, or Google Play Subscriptions).

Redeem a lifetime deal code

  1. Open trackkr.app/redeem.
  2. Create a new owner account or sign in as the business owner.
  3. Enter your marketplace code and redeem.
  4. Verify email if prompted, then install/open Trackkr and sign in.

Lifetime codes apply to owner accounts only (not coordinator logins).

Merge duplicate units

  1. Open Units.
  2. Use Merge duplicates.
  3. Choose the master unit and the duplicate to merge.
  4. Confirm — parcels move to the master unit and the duplicate is removed.

Delete account

  1. Settings → Delete account.
  2. Enter your password to confirm.
  3. Cancel any Apple or Google subscriptions separately so billing stops.
